Planning an event involves a long list of things to figure out. Seating does not need to be one of them. From your first call or quote request to the moment our driver pulls away after teardown, here is exactly what working with Bleacher Rentals looks like — so you know what to expect before you ever pick up the phone.
The process starts with you telling us about your event. You can do that two ways — fill out our online quote form or give us a call. Either way, we want to know the basics: what type of event you are running, your expected attendance, your venue, and your event date.
There is no obligation at this stage. We are just gathering enough information to put together a quote that actually fits your situation.

Once we receive your request, we review it, confirm what you need, and get a quote back to you within one business day. If we need anything clarified before we can quote accurately — unit sizes, venue layout, number of days — we will reach out rather than guess.
If for any reason your quote is going to take longer than one business day, we will contact you and let you know. You will not be left wondering where things stand.

When the quote looks right, approval is straightforward — an e-signature on the quote document and you are confirmed. No complicated contracts, no back-and-forth paperwork. Once you sign and submit your deposit, your bleacher rental is secured.

This is where we do the work that most customers never see. We coordinate delivery routes, assign a driver, and confirm the setup schedule. We communicate the plan clearly — you will know when to expect us and what to expect when we arrive.
For first-time customers especially, we take time before delivery day to confirm site access. That means checking gate widths, overhead clearances, ground conditions, and anything else that could affect whether delivery goes smoothly. We do this over the phone, by email, or in person depending on what makes sense for your situation.
The goal is simple: no surprises on event day.

Our driver arrives at the agreed time. Setup is fast — a typical six-unit deployment seating approximately 1,800 people takes around two hours. You do not need to organize a crew or be hands-on through the process. We handle it.
That said, if something unexpected comes up on-site, we work through it. We have swapped out units at the last minute to ensure bleachers fit a space. We have brought a tractor on-site to position bleachers on difficult terrain. If there is a way to make it work, we find it.
Once setup is complete, we do a walkthrough to make sure everything is positioned correctly and ready for your event.

When your event is over, our driver returns at the agreed time and takes everything down. You do not need to be involved unless you want to be. The bleachers leave and your venue is back to normal.

Every customer gets a follow-up call after their event. We want to know how it went, whether the seating worked the way you expected, and whether there is anything we could do differently next time.
This is also when we talk about next year. Most of our customers come back — and booking early means your date is secured before the season fills up.
